Accounts and charges
Standard Laboratory Accounts
Laboratory account strings are defined under three categories: Consumables; Equipment Maintenance; Minor Equipment Purchases and are expressed as 4018202-01-101-01-000000 followed by one of the following Free Form Tags:
- TLCONSxxx - Where TLCONS denotes the Consumables account, the xxx is the Laboratory Code
- TLEXMTxxx - Where TLEQMT denotes the Equipment Maintenance account, xxx is the Laboratory Code
- TLLABxxx - Where TLLAB denotes the Minor Equipment Purchases account, xxx is the Laboratory Code
These accounts should only be charged with expenses related directly to the laboratory such as:
- TLCONSxxx - Adhesives, tapes, batteries, cleaning agents, misc components, soldering and any other miscellaneous items required to support day-to-day operations
- TLEQMTxxx - Cost of equipment repairs and replacement components and any other miscellaneous items excluding University infrastructure, required to maintain the facility and its equipment
- TLLABxxx - Mulitmeters, test leads & probes and any other minor equipment purchased for use in the facility
Components and parts purchased exclusively for course related activities should not be charged to an EEL account, they must be charged to the course code
EEL Standard Accounts
The Electronics Engineering Laboratory standard account strings are defined under five categories: Reclaimables; Consumables; Equipment Maintenance; Minor Equipment Purchases; Freight Charges and are expressed as 4018206-01-101-01-000000 followed by one of the following Free Form Tags:
- EELREC - Where EELREC denotes the EEL Reclaimables account
- EELCONS - Where EELCONS denotes the EEL Consumables account
- EELEQMT - Where EELEQMT denotes the EEL Equipment Maintenance account
- EELLAB - Where EELLAB denotes the EEL Minor Equipment Purchase account
- EELFREIGHT - Where EELFREIGHT denotes the EEL Outgoing Freight Charges account
These accounts should only be charged with expenses related directly to the Electronics Engineering Laboratory such as:
- EELREC - All orders processed by the Engineering & Technical Support Manager are normally charged to this account
- EELCONS - Adhesives, tapes, batteries, cleaning agents, misc components, soldering and any other miscellaneous items required to support day-to-day operations
- EELQMT - Cost of equipment repairs and replacement components and any other miscellaneous items excluding University infrastructure, required to maintain the facility and its equipment
- EELLAB - Multimeters, test leads & probes and any other minor equipment purchased for use in the facility
EELFREIGHT - Used exclusively for freight charges
EEL Engineering Accounts
The Electronics Engineering Laboratory engineering account strings are defined under two categories: Manufacturing Defects or Failures and Process Development and are expressed as 4018206-01-101-01-000000 followed by one of the following Free Form Tags:
- EELMFRFAIL - Where EELMFRFAIL denotes the EEL Manufacturing Defect / Failure account
- EELPROCDEV - Where EELPROCDEV denotes the EEL Process Development account
These accounts should only be charged under the following conditions:
- EELMFRFAIL - Where a manufacturing defect or failure has occurred, all materials must be charged to this account and any labour charges dropped
- EELPROCDEV - Where a new process is being developed, all materials must be charged to this account
