Storage facilities
Format
Storage facilities are to be identified with a six digit code in the following format: 01-02-03, where
- 01 is an incremental number which refers to a cupboard, cabinet or set of drawers etc within a defined area
- 02 is an incremental number which refers to a shelf or drawer or defined space within the above
- 03 is an incremental number which refers to a compartment or defined spaced within the above
Label Colour
- Use Yellow labels to indicate the storage facility contains consumables and standard stock items
- Use Red labels to indicate the storage facility contains equipment pool items
- Use White labels to indicate the storage facility contains tools and other equipment which belong to a room or laboratory and not part of the equipment pool
Compliance is mandatory for storage facilities established on or after 03 June 2012. Immediate retrospective action is not required on storage facilities established before 03 June 2012. However, compliance should be considered as a longer term goal.
Consumables & Standard Stock Items
- Where possible and if required, the storage facility should be identified using Yellow labels with 01, 02, 03 etc in a prominent position
- The shelf, drawer or storage space within the above should be identified with 01-01, 01-02, 01-03 etc
- Where possible, the compartment storage space or container within the above shall be identified with 01-01-01, 01-01-02, 01-01-03 etc using Barcode 128
- The six digit identification code also serves as the EEL part number for the associated item
Equipment Pool Items
- Where possible and if required, the storage facility should be identified using Red labels with 01, 02, 03 etc in a prominent position
- The shelf, drawer or storage space within the above should be identified with 01-01, 01-02, 01-03 etc
- Where possible and if required, the storage space or container within the above shall be identified with 01-01-01, 01-01-02, 01-01-03 etc. Barcode is not required.
Tools & Other Equipment
- Where possible and if required, the storage facility should be identified using White labels with 01, 02, 03 etc in a prominent position
- The shelf, drawer or storage space within the above should be identified with 01-01, 01-02, 01-03 etc
- Where possible and if required, the storage space or container within the above shall be identified with 01-01-01, 01-01-02, 01-01-03 etc. Barcode is not required

Labels may be printed using Brother P Touch labellers K117, K165 or equivalent using the following significant settings:

Equipment
Format - Commercial Equipment
- Use Yellow labels only for the identification of commercial equipment
- Apart from the UQ Asset Tag which is issued by ITEE's finance section for specified items, all equipment is to be identified in the following format X000/000 using Barcode 128 where:
- X000/000 = K - which denotes equipment belonging to the Electronics Engineering Lab
or L - which denotes general equipment belonging to ITEE
or Z - which denotes loan equipment belonging to the Multimedia Group - X000/000 = a unique incremental number starting at 001 which refers to a particular description, make and model
- X000/000 = an incremental serial number starting at 001 which refers to the number of items which are of the same description, make and model
- X000/000 = K - which denotes equipment belonging to the Electronics Engineering Lab
- Where possible, accessories belonging to the above are to be identified in the following format X000/000/A where:
- X000/000/A = an incremental letter starting at A which should be used to identify one or more accessories
Compliance is mandatory for items identified on or after 03 June 2013. Immediate retrospective action is not required for items which were identified before 03 June 2012. However, compliance should be considered a longer term goal.
Format - Equipment Designed & Built In-House
- Use White labels only for the identification of equipment designed and/or built in-house
- All equipment is to be identified in the following format A000X/000 using Barcode 128 where:
- A000X/000 = A - denotes equipment designed & built in-house
- A000X/000 = an incremental number starting at 001 which refers to the project number allocated by the Project Database or Engineering & Technical Support Manager
- A000X/000 = an incremental letter starting at A which refers to the build standard or issue of the equipment
- A000X/000 = an incremental serial number starting at 001 which refers to the number of items which are of the same project number
- Where possible, accessories belonging to the above are to be identified in the following format A000/000/A
- A000/000/A = an incremental letter starting at A which should be used to identify one or more accessories

Additional Identification - Non Equipment Pool Items
Apart from their ETSG part numbers which shall comply with the formats described above, items which do not belong to the Equipment Pool may also be identified with their storage locations using White labels with the six digit format 00-00-00.
Only required if the label is appropriate and assuming there is sufficient space to fix the label.
Additional Identification - Equipment Pool Items
Apart from their ETSG part numbers which shall comply with the prescribed format, items which belong to the Equipment Pool shall also be identified with their storage locations using Red labels with the six digit format 00-00-00. Assuming there is sufficient space to fix the label
Additional Identificaion - Written Off and Still In Use
Occasionally due to depreciation, items are removed from the Asset Register but remain in use. Such items shall be identified using a Blue label with an upper case X.
Examples
Labels shall be placed in a conspicuous location and positioned as shown above, assuming sufficient space is available.
